| 14 August 2009 | Nominations close. |
| 14 September 2009 | All nominees are notified as to whether they have been selected as semi-finalists of each category. |
| 13 October 2009 | All semi-finalists are notified as the whether they have been selected as State finalists. |
| 13 - 24 October 2009 | Judging panels conduct site visits to the finalist schools, individual finalists and referees. |
| 6 November 2009 | Judging panels select winners in each category. |
| 7 December 2009 | Presentation breakfast event at Perth Convention Exhibition Centre. |
