Ordering records

Below are brief instructions for ordering catalogues on SCISWeb. More detailed instructions can be found in the SCISWeb manual which can be accessed on the Create orders screen when you are logged on to SCIS.


Ordering records
Instructions for ordering and downloading records while connected to the Internet.
  1. On the SCISWeb screen, click on Create orders

  2. Set aside resources without an ISBN or SCIS number. NB: Resources returned from CMIS Cataloguing will have a SCIS number written on a coding sticker.

  3. Click inside the box under Enter orders here.

  4. Type or scan each ISBN (no spaces or dashes) then press enter (you do not have to press enter if using a scanner).
    If using a scanner and a different number to the ISBN is scanned you may need to reconfigure your scanner. See Product information on the SCIS website for details.

  5. When all ISBNs and SCIS numbers are entered click on Process order.

  6. The processed order will appear on the top of the Orders table with the current date and Melbourne time. Click on the word Results on the same line as your order.

  7. Check for any unmatched records at the bottom of the screen.

  8. Unmatched orders
    • Check that ISBNs and SCIS numbers been typed correctly? If they are correct, follow the direction at the bottom of the screen to return to Create orders. Numbers can then be re-entered in the input box. Repeat steps 5-7.
    • Records and item that don't match. A publisher may have used an ISBN on more than one item. You can find the SCIS number for the correct title by searching the SCISWeb OPAC. See the section on SCIS OPAC for more details.
    • If none of the titles match your resources, check that you selected the correct order line.
    • If you are a joint-use library or have multiple campuses sharing the same user name, check to see that you have selected your order.
    • To return to the orders screen follow the click here directions at the bottom of the screen.

  9. Items without ISBNs or SCIS numbers. You can search on the SCIS OPAC to see if there is a catalogue record and use the SCIS number for ordering. See the section on SCIS OPAC for more details.

  10. Offline ordering: You can also compile a list of ISBN or SCIS numbers offline in a Word processing package or text editor such as Notepad for ordering. More details can be found on page 32 in the SCISWeb manual under the section SCISWeb ordering. (this can be also be accessed on the SCISWeb home page).

  11. See the section SCIS OPAC for more information about ordering records for items without ISBNs or SCIS numbers.

  12. If any items remain unmatched, refer to the section on Items not found .

Downloading orders
  1. Decide where you want to save the file. If the library system is on the same network as you use to access the Internet then you may be able to save the file in a network drive. Alternatively, you may wish to use a floppy disk.

  2. Click on Usmarc.dat for the order you want to download.

  3. Internet Explorer: when the message appears "What would you like to do with this file" click on Save it to disk then click on OK.

  4. Check that the correct file location is displayed, e.g. if you want to save to a floppy disk, ensure that the A: drive is selected.

  5. Save the file. This should only take a few seconds.
    If the computer is clocking (the timer stays on for some time and the file is not saved) or opens a different program, you may need to exit the program and try again. If this happens consistently try the following steps.
    1. Click on usmarc.dat with the right button (i.e. the 'other' button) of the mouse. A drop-down menu will appear.
    2. Internet Explorer: Click on "Save Target As..."
    3. Netscape: Click on "Save Link As..."
    The file should then save to your chosen drive. (This may happen if your computer has been configured to react differently to a .dat file.

Uploading records to library system
  1. Load the downloaded records onto your library system as instructed by the supplier's manual. Remember to specify the drive where you saved the file, e.g. if you saved the file on a floppy you will need to tell the library system to look on drive A:.
  2. Match the items and records and print spine labels.
